For HR teams, staffing agencies, and payroll providers
New-hire paperwork and first-day passwords, without the email trail
Send the real W-4 and I-9, collect direct deposit details that come back complete, and deliver first-day passwords automatically. Everything is end-to-end encrypted, and it’s erased when you’re done with it.
Clients never need an account. Firm features are on the Business plan.
Onboarding runs on sensitive data
Social Security numbers, dates of birth, bank account numbers, and the new hire’s first password. Sent by email, they sit in inboxes for years and get forwarded around. Squawk Secret gives new hires a safer way to send what you need, and gives you a record of who opened what and when.
Fillable PDFs
The real W-4 and I-9, completed and signed
New hires fill in the official W-4 and the employee section of the I-9 in their browser, and you receive the completed PDF. The I-9’s employer section stays blank for your review. The W-9 is ready for contractors, and you can upload your own fillable forms.
Intake
Direct deposit and onboarding details
Collect bank routing and account numbers, emergency contacts, and other onboarding details with forms that check formats as people type, plus a typed signature with a signature record.
API
First-day passwords, sent automatically
Have your HR system, an Active Directory script, Power Automate, or Okta Workflows create a one-time link with a new hire’s first password, so it never sits in an email.
Squawk Drop
One secure place for candidate documents
Give candidates and employees a page to send resumes, certifications, and signed documents, up to 2 GB at a time, sorted by topic.
Secure chats
Account handoffs and questions
Handle onboarding questions or an offboarding account handoff in an end-to-end encrypted chat that erases itself when it closes. Add a colleague from IT as a co-host.
Oversight
Controls your team can stand behind
Require two-step verification for everyone, or sign in with Microsoft 365, Google Workspace, or Okta. Admin and member roles, instant sign-out when someone leaves, and an audit trail you can export.
Forms that follow the rules
Completed W-4s and I-9s are the official IRS and USCIS forms, with the employee’s typed signature and a signature record page. The I-9’s Section 2 is left for your review of the employee’s identity and work authorization documents, which still has to happen as the law requires.
Federal rules set requirements for electronic W-4s and I-9s and their signatures; check your process with your counsel. This page isn’t legal advice.
Records and retention
Squawk Secret erases what you send and receive on a schedule you set, which keeps sensitive information from piling up where it doesn’t belong. Completed forms should be downloaded into your HR or payroll system before they expire, and kept there for as long as the law requires. Squawk Drop items can be kept for up to a year, and the audit trail of who opened what, and when, is kept for your records.
